Introduction

Welcome to GM Vietnam - Vietnam Blockchain Week ("the Event"), scheduled to be held on 1-2 August 2025. In accordance with the Vietnamese government regulations, all foreign speakers at the Event are required to register their identities with the government. As part of this process, we must collect certain personal information, including passport details, to ensure compliance with these regulations.

Failure to complete the required registration may lead to unfavorable consequences. In the worst-case scenario, a speaker’s session may be canceled on the spot if the necessary registration is not completed in advance. Therefore, it is crucial that all speakers submit their required information accurately and on time.

Purpose of Data Collection

The personal information you provide (namely, your passport) will be used solely for the purpose of registering your participation as a Speaker at the Event and fulfilling legal and administrative requirements with the relevant government authorities. Additionally, other information being collected is needed for the Speaker’s marketing materials. The collected information includes:

• Passport picture (Registration with the Vietnamese Government)
• Profile picture (Speaker’s marketing materials)
• Email address (Speakership communication)
• Full name (Speaker’s marketing materials)
• Position title (Speaker’s marketing materials)
• Company name (Speaker’s marketing materials)

Confidentiality and Data Protection

• Your personal information will be handled with strict confidentiality and stored securely in accordance with applicable data protection laws.
• We will not share, disclose, or sell your information to any third party except as required by law for the registration process of the Vietnamese Government's Departments in charge of domestically held events.
• Access to your personal data will be limited to authorized personnel responsible for event management and government registration.

Data Retention and Deletion

• Your personal information will be retained only for the duration necessary to complete the registration process and for compliance with applicable laws.
• After the conclusion of the Event and completion of all legal requirements, your passport information will be securely deleted from our systems within 30 days.

Security Measures

• We implement appropriate security measures to protect your personal data from unauthorized access, alteration, disclosure, or destruction.
• While we take all reasonable precautions to protect your data, you acknowledge that no method of electronic transmission or storage is 100% secure.

Consent and Acknowledgment

By submitting your personal information, you acknowledge and agree to the following:

• You consent to the collection, processing, and use of your personal data as described in this document.
• You affirm that the information provided is accurate and valid.
• You understand that failure to provide the required passport details may result in your inability to participate as a speaker at the Event.

Rights of Data Subjects

• You have the right to access, correct, or request the deletion of your personal data, subject to legal and operational constraints.
